Privacy Policy

This policy covers the gallery.design website and forms that Design Gallery creates on third-party platforms, including the Design Gallery private-appointment Instant Form hosted by Meta on Facebook and Instagram. Design Gallery does not own or operate Meta's platform. Design Gallery operates from Roseville, California. This policy is written for United States residents. "We" means Design Gallery.

We collect the following information when you choose to submit it:

• Contact and visit-booking forms: name, email, phone (optional), your message, preferred visit time, and party size.
• Meta-hosted private-appointment forms on Facebook and Instagram: full name, phone number, email address, ZIP code, and project type.
• Email list signup: your email address.
• Event RSVPs: name, email, phone, company and profession (for trade professionals), the evening you are attending, number of guests, and notes. You also accept a separate event terms and media release, which is its own versioned consent. If you bring guests, you provide their names and, optionally, their contact details.
• Private invitation forms (pages we share by private link): your answers to the questions on that form.
• Designer portal applications: name, studio, credentials, email, phone, portfolio link, and a password.
• Member accounts: name, email, optional phone, a password, wishlist notes, and consultation requests.

If you submit the private-appointment form on Facebook or Instagram, Meta hosts the form and receives the information you enter. Meta provides the submission to Design Gallery. Meta also processes information under its own privacy policy. Design Gallery does not control Meta's independent processing.

Design Gallery uses the submission to respond to your private-appointment request, learn about your project, coordinate availability, route and assign the request, prevent duplicate processing, and maintain intake and legal records associated with the request. A Design Gallery specialist may place a human service call or send a service email to the phone number or email address you provide for those purposes.

Submitting the form is a request only. It is not a confirmed appointment, event RSVP, admission, or confirmation. Your submission is not consent to SMS or text messages, marketing email, automated marketing nurture, prerecorded or artificial-voice calls, or automated marketing calls.

If this route is enabled, Zapier transfers and maps the submission, Airtable receives the intake and routing record, and a controlled internal Google email alert is sent to designated Design Gallery personnel for assignment and response. The exact people who handle a request may depend on assignment. This description does not assign Meta, Zapier, Airtable, or Google a statutory role.

For a submitted request, Design Gallery also creates or receives records about the submission and its handling, including source, campaign, ad, form, and lead identifiers; submission time; the displayed notice and service-request acknowledgement versions; acknowledgement status; routing, assignment, and status information; and duplicate-processing and audit records.

Two situations bring us information about you from another person:

• If someone RSVPs for an event and names you as a guest in their party, we receive your name, and contact details if they provide them, so we can prepare event badges and check-in.
• If your designer uses our trade portal, they may enter your name and contact details as their client, to plan showroom visits and share galleries with you. Your designer is responsible for having your permission.

When we share a private gallery link at your designer's request, we record that the link was opened and when. We do not record who opened it, an address, or a device.

In either case, write to hello@gallery.design with questions or to ask about removing the information; we will help, as described in Access and deletion.

The site sets no advertising or tracking cookies. The only cookies are a session cookie when you sign in to the designer portal or a member account (our staff admin uses the same mechanism), and a temporary preview cookie used only by our staff. That is the complete list.

We use an aggregate analytics service (Vercel Web Analytics). It records the page address, time of visit, referrer, approximate location (country, region, city), and device and browser type. Vercel states that it sets no cookies, does not identify individual visitors, and discards short-lived session identifiers within a day.

Map and video embeds (Google Maps, YouTube) load only after you click them. Until you click, no request is made to those providers. After you click, the provider's own privacy policy applies to what it receives.

A small set of companies process information on our behalf to run the site: hosting and analytics infrastructure (Vercel), database hosting (Neon), file hosting (Cloudflare), email delivery (Resend), and error monitoring (Sentry). They process information to provide their services to us. Our hosting provider also keeps standard server logs, which can include IP addresses, for security and operations.

The Meta private-appointment route uses the third-party services and functions described in Meta private-appointment requests. Meta also processes information independently under its own privacy policy.

We use IP addresses transiently to protect our forms from abuse. We do not keep them in our records.

We use the information above to respond to inquiries, arrange visits, run events (badges, check-in, confirmations), operate the designer portal and member accounts, send the email list to people who asked for it, and keep our records. For the website practices described in this policy apart from Meta private-appointment requests, we do not sell personal information, and we do not share it with third parties for their own marketing.

The narrower Design Gallery uses and contact limits for Meta private-appointment requests, and Meta's independent processing, are described in Meta private-appointment requests.

When you write to us, we reply by email. If you RSVP or submit a website form, we may send you a confirmation. If you join the email list, we use your address only to send what you signed up for, and you can leave the list at any time by writing to hello@gallery.design.

For a Meta private-appointment request, any Design Gallery email follow-up is limited to responding to that request, learning about your project, and coordinating availability. We do not use that request to send marketing email.

If you hold a designer portal or member account, you can review and update your profile information after signing in. Anyone can write to hello@gallery.design to ask about reviewing or correcting information Design Gallery holds.

For records held in the gallery.design website system, we respond to access and deletion requests using the practices supported by that system. Some website inquiry and private-form records are append-only business records and cannot be selectively erased. If a request touches records we keep, we explain what we kept and why. We take reasonable steps to verify that the requester is the person the information concerns.

Meta private-appointment records may exist in Meta and, if the route is enabled, in Zapier, Airtable, and controlled internal Google email. You may write to hello@gallery.design to ask about a Design Gallery record, request correction or deletion, or ask Design Gallery to stop service follow-up about the request. The systems do not provide one automatic, universal deletion process, and Design Gallery does not promise immediate removal or removal from systems it does not control. Design Gallery evaluates requests under applicable law and the capabilities and recordkeeping requirements of the systems it controls. Meta handles requests concerning Meta's independent processing under Meta's own privacy policy.

For Design Gallery's own disclosure practices, we do not disclose personal information to third parties for those third parties' direct marketing purposes. This statement does not describe or limit Meta's independent processing. The site does not track visitors over time and across third-party websites, so it does not respond to browser Do Not Track signals. We do not permit other parties to collect information about your online activities over time and across different websites when you use the site. If you activate a map or video embed, that provider may collect information from that point on, as described in Maps and video.

Website inquiry and form records are kept as part of our business records. Event and account records are kept while they serve the purposes above.

Meta private-appointment records do not have one universal retention period across Meta and the systems used by Design Gallery. The length of time can differ by system and record type. Factors that may affect how long a record remains include the time needed to respond to and document the request, coordinate availability, maintain routing, assignment, duplicate-processing and audit records, address security or disputes, and satisfy legal or recordkeeping requirements. Meta applies its own retention practices to its independent processing.

No method of sending or keeping information is completely secure. Third-party services apply their own security practices, and Design Gallery does not control Meta's systems.

The site is not directed to children under 13, and we do not knowingly collect their information. If we learn that we have, we address the information in systems Design Gallery controls and contact relevant service providers where appropriate. Events are for adults; guests under 18 are addressed in the event terms.

We post the updated policy on this page with a new effective date. For material changes, we also add a dated note at the top of this page.
